This policy explains what information CleanStays collects, why we collect it, and what we do with it. It applies to cleanstays.ca, our cleaner and owner applications, and any service we provide.
Who We Are
CleanStays is a division of Wise STR, operated by C.Wise Enterprise Corp., a company registered in Alberta, Canada. We provide turnover cleaning and property services for short term rentals. For any privacy question, contact info@cleanstays.ca.
Information We Collect
Property Owners and Clients
- Name, email address, phone number, and mailing address
- Property addresses, access instructions, and access codes
- Booking calendar data from any iCal feed you connect
- Photographs of your property taken during cleaning and inspection
- Service history, maintenance records, and hot tub readings
- Billing information processed through our payment provider
Cleaners and Contractors
- Legal name, contact details, and mailing address
- Social Insurance Number or business number, required for tax reporting
- Payment details for invoice settlement
- Work history, job completion records, and submitted photographs
- Location data at the time of job check in and check out
Website Visitors
- Information you enter into our contact or estimate forms
- Standard technical data such as IP address, browser type, and pages viewed
How We Use Your Information
- To schedule, perform, and document cleaning and property services
- To sync cleans automatically against your booking calendar
- To generate invoices and process payments
- To produce service reports and photographic records for property owners
- To pay contractors and meet tax reporting obligations, including T4A issuance
- To respond to enquiries and provide support
- To resolve disputes, including damage claims through platforms such as Airbnb
Calendar Data
When you connect an iCal feed from Airbnb, Vrbo, Booking.com, or a property management system, we read booking dates and checkout times to schedule cleans. We do not read, store, or access guest names, guest contact details, or reservation payment information. We use this data only to determine when a turnover is required.
Photographs
We photograph properties before and after cleaning. These images document service completion, record pre existing damage, and support damage claims. They are stored against the property record in our systems and are visible to the property owner. We do not publish, sell, or share property photographs with third parties except where required to support a claim you have asked us to pursue, or where required by law.
Guest belongings. Our cleaners are instructed to photograph rooms, not personal property. If a guest belonging appears incidentally in a photograph, it is retained only as part of the standard service record and is deleted on the schedule below.
How We Share Information
We do not sell your personal information. We share it only in these circumstances:
- Service providers. Payment processing, cloud hosting, and communication tools that operate on our behalf under contract
- Contractors. Cleaners assigned to your property receive the address, access instructions, and cleaning requirements needed to perform the job
- Property owners. Owners receive service records, photographs, and contractor names for work performed at their property
- Legal requirement. Where we are required to disclose by law, court order, or a government authority, including Canada Revenue Agency reporting obligations
Data Retention
- Service and photographic records: retained for two years from the date of service
- Financial and tax records: retained for six years, as required by the Canada Revenue Agency
- Contact form submissions: retained for twelve months where no service relationship follows
- Access codes and property credentials: deleted within thirty days of a service relationship ending
Security
We use encryption in transit, access controls limiting property data to assigned contractors, and reputable third party providers for payment processing. No system is completely secure. If a breach occurs affecting your personal information, we will notify you and the Office of the Privacy Commissioner of Canada as required under PIPEDA.
Your Rights
Under Canadian privacy law you may:
- Request access to the personal information we hold about you
- Request correction of inaccurate information
- Withdraw consent, subject to legal and contractual limitations
- Request deletion, subject to our retention obligations above
- Make a complaint to the Office of the Privacy Commissioner of Canada

Cookies
Our website uses only the cookies necessary for the site to function and to understand basic traffic patterns. We do not use advertising cookies or sell traffic data.

We may update this policy. The date at the top reflects the current version. Material changes affecting active clients or contractors will be communicated directly.
